Administrative Assistant (Job Number:405428)
Description:
Selected candidate for this position will provide administrative support to the OGC/IA Branch Chief as well as other attorneys in a busy legal office. This specifically involves opening and closing actions; retrieving documents from other offices; performing minor editing functions; answering phone calls; escorting non-cleared personnel around the office; maintaining files; and preparing correspondence. Additionally, the candidate will make copies; produce files; assist in scheduling and monthly reports; and maintain basic office functions. He/She will also support the International Agreements Database by performing data entry and scanning of International Agreements. The candidate must be able to work with minimal supervision and meet tight deadlines. Work hours are expected to be between 9:00 am – 5:00pm; HOWEVER, hours may change based on office administrative support requirements as dictated by the mission.
Qualifications:
Required Skills: Candidate should be a motivated, self-starter with the ability to accomplish tasks under pressure with limited supervision.
- Strong admin skills and a strong ability to multi-task.
- Candidate must be a team player.
- Candidate must have flexibility to accommodate time-sensitive and mission-critical work.
- Proficiency with Microsoft Office (Word, Excel, and PowerPoint) applications and common office software applications are required.
- The successful candidate will have exceptional oral and written communication abilities.
Education: A valid High School diploma or GED and four (4+) years of experience with knowledge of administrative and clerical functions, processes, practices and procedures.
Desired Skills: Previous experience in a law office, General Counsel's office or JAG office, or sound working knowledge of legal offices, legal research procedures and sources of information highly desired.
